Events Committee

The Events Committee plays a seminal role with other committees; this committee facilitates the work of other committees that require events planning.  While the Events Committee can take the lead in planning events that will benefit the community, other committees hope to look to the Events Committee to help plan and execute important gatherings that further the work of those committees.  For example, Fundraising might look to the Events and Hospitality Committee to plan an annual fundraiser for the legislative district.  The PCO leadership might look to the Events and Hospitality Committee to organize the venue for a PCO training.  Other committees typically really welcome the involvement of the Events and Hospitality Committee in helping make important events happen.

  • Event planning: Brainstorming, organizing, and executing various types of events to engage constituents and support the legislative district’s goals.  Events can include special meetings, training sessions, our presence in local summer parades, strategic planning sessions, potlucks….it’s really up to you!
  • Venue selection: researching and securing appropriate locations for events.  Exception: This currently does not include setting up in-person complements for monthly hybrid LD meetings; that organizing is typically left up to the folks who want to participate in-person.
  • Budget management: working within allocated budgets for each event, and possibly securing in kind donors.
  • Logistics coordination: handling details such as seating, audio-visual equipment, catering and scheduling.
  • Volunteer recruitment and management: enlisting and coordinating other volunteers to help staff events.
  • Promotion and outreach: help advertising events through various channels to ensure good attendance.
  • Constituent engagement: interacting with attendees at events and gathering feedback.
  • Issues awareness: staying informed about current legislative issues to ensure events are relevant and timely.
  • Compliance: Ensuring events adhere to relevant laws and ethical guidelines.
  • Creative problem-solving: Addressing unexpected issues that arise during event planning or execution.
